We are currently seeking a full-time event + marketing coordinator to join our team in Calgary, AB for a one-year maternity leave contract.

The ideal candidate for this position will be a highly organized, professional and self-motivated individual who thrives in a flexible, self-directed work environment. This individual will be responsible for supporting a portfolio of client events that includes conferences, seminars, meetings, award galas, receptions, and tradeshows across Canada and the US.

In addition, this individual will also assist our marketing team in the development and implementation of strategic marketing campaigns including content development and execution of print, web, social media, and email campaigns.

The successful candidate will be an individual who is able to manage multiple tasks and tight timelines, is passionate about the events industry and is able to work both independently and as part of a team. We are seeking someone who is extremely detail oriented, professional and personable.

Projects will vary significantly and you will also be asked to support the Spark team in a variety of event duties, including managing being on-site to assist with delivery of events.

Duties of the position include:

Event Coordination:

  • Coordinate event logistics with venues, AV providers, show service providers etc.

  • Manage subcontractors, vendors and suppliers to coordinate delivery of events

  • Assess requirements and develop online event registration systems

  • Assist with searching for venues and vendors for events

  • Responsible for maintaining client event lists and databases

  • Creating, preparing and distributing meeting minutes or supporting documents

  • Coordinating guest lists and assisting with creating event badges

  • Providing registration support, record tracking and administrative registration support

Marketing Coordination:

  • Coordinate marketing and communication deliverables with design team

  • Create content for websites, email blasts, blogs, social media, & print

  • Monitor and evaluate client campaigns and create reports

  • Assist with the creation and design of campaign materials

  • Support marketing team in creation and production of marketing collateral & materials

  • Other administrative duties related to events

  • Assist at events as on-site staff

Experience & qualifications:

  • Exemplary interpersonal and communication skills (both written and verbal)

  • Post-secondary degree or diploma in commerce, marketing or event management

  • 2+ years of experience in event or marketing coordination

  • Ability to manage multiple projects simultaneously and work under pressure to deadlines

  • Able and willing to work flexible hours including weekends and evenings

  • Class 5 drivers license and access to a vehicle

  • Moderate travel may be involved (mostly within Canada)

Technical Qualifications:

  • Advanced knowledge of MS Office Suite including Word, Excel, Power Point and Outlook

  • Experience with any event management or registration system and software is an asset

  • Experience in Adobe InDesign, Illustrator or Photoshop would be an asset

  • Experience with Mail Chimp, Constant Contact and other email marketing would be an asset
